 JOB FUNCTIONS

The Executive Secretary is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner. The Executive Secretary reports to the General Manager and is responsible for effectiveness and efficiency of the administrative and secretarial function.

DUTIES AND RESPONSIBILITIES
  • Set up, label and maintain the filing system and update index of files and form regularly.
  • Daily trace system. Photocopy the covering correspondence with trace date clearly indicated and put the photocopy into individual jacket according to the trace date.
  • Coordinate and monitor all appointments, meetings, and trainings to ensure that schedules are logged, traced and remind all concerns.
  • Make follow-ups to different departments, company, person any pending documents as requested by the General Manager including the status thereof.
  • Manage all inward and outward correspondence of the General Manager’s Office in order to ensure timely and accurate receipt and dispatch of the same, while maintaining confidentiality.
  • He/She shall posses effective verbal, written and listening communication
  • Prepare agenda, appropriate files, folder, information, and relevant documents for each meeting.
  • Take minutes, check correctness and presentation before distributing and filing according to the supervisor’s discretion.
  • Handling the incoming calls and information, obtaining all relevant information and passing on to appropriate personnel.
  • Keep records of travel expenses and update travel schedule.
  • Set-up and maintain General Manager’s Office correspondence files and personnel files and ensure safe custody and confidentiality.
  • Dispatch the mailings with appropriate contents, letters, envelopes, etc.
  • Ensure that monthly critique and month end reports are finished on a timely basis.
  • Update information and data relevant to the department at all times.
  • Work and coordinate with other departments to ensure that the responsible job of the department meets target and goals.
  • Coordinate with Human Resources for any employee issue which includes recruitment, performance appraisal, and other manning guide update.

REQUIRED JOB SKILLS & QUALIFICATIONS

  • Effective verbal and listening communications skills in English Language
  • Computer skills including the ability to operate

  • Good interpersonal skill with Pleasant personality
  • Bachelor Degree preferably in Administration and/ or in a relevant field
  • Minimum 3/4 years of experience in Executive Secretarial level preferably international hotels with proven record of achievements.

Additional
Pre-opening resort/hotel experience is an added advantage and successful candidate will be able to return to Male’ on daily basis.
